PRESENTATION GUIDELINES

The language for all presentations will be English.
Oral Presentations

  • Oral presentations will be scheduled at 20-minute intervals. Each presentation should be no more than 15 minutes in length, allowing at least five minutes for questions and discussion. Case studies, pilot studies, and original research are appropriate for the oral (and movie) format.
  • Be sure to prepare only the required number of slides for the allotted time period. Extra time will not be permitted due to time limitations.
  • Descriptions of commercial products per se are not appropriate for the technical programme.
  • Undergraduate students may present and be the first author, but the presentation should be co-authored by a senior author such as a supervisor. Post graduate students can present on their own.  
  • All oral presentations should be made using PowerPoint. Overhead projectors will be available on special prior request for illustrations and maps only where absolutely essential. All presentations should be saved on a CD and delivered to the Conference IT specialist at the NSF Conference Secretariat on the day before your scheduled session.
  • Please make your multimedia presentation to be compatible for windows. Please label your disk, using your last name (e.g. Perera.ppt or Perera2.ppt. for multiple presentations and the name of your presentation) when handing over a copy to the Conference IT specialist at the NSF Conference Secretariat.
  • Presentations will be saved to an assigned laptop/computer by the Conference IT specialist. Please note that use of individual laptops may not be possible at the conference as this could delay the proceedings.  All computers at the conference will only have windows based operating systems. 
  • If you plan to play a video file from inside your PowerPoint presentation please use a standard format and be ready to provide the specific link with the PowerPoint presentation to the Conference IT Specialist.
  • If you plan to play a sound file from inside your PowerPoint presentation please use a standard file format (e.g. *.wav/mpeg) and bring with you each sound file you are going to use.
  • We strongly discourage the use of your own laptop to make the presentation, so please prepare a correctly labeled CD to be handed over to the Conference IT officer.
  • Your data and experiences are valuable. So please take the time to make a proper presentation to communicate them to the others at the conference. See PowerPoint presentation tips.

Movie presentations

  • Movie presentations will be possible during the technical  programme. These presentations will be interspersed with the oral podium presentations. Hence 10-minute movie presentations are also accepted instead of the 15 minute oral presentations. Each movie presentation will be followed by 5 -10 minutes of discussion. Interested participants for movie presentations should submit abstracts for review, in the same format provided for abstracts of oral presentations (see abstract guidelines). These too will be printed in the abstract document.  The Technical Review Panel will organize and schedule movie presentations by topic under the appropriate technical sessions.

All presentations will be played from the hard drives and so you will be asked to submit your presentations on CD. Please make use of a standed format movie file from among the following: wav/mpeg/avi.

Poster presentations (for students only):

  • Those wishing to present their work in poster format will be assigned a space approximately 100cm hight by 70cm width for the display.
  • Authors are expected to stand by their poster during the scheduled time.
  • Abstracts for posters are prepared in the same manner as oral presentations (see abstract guidelines) and will be printed in the abstract document. The Technical Review Panel will organize and schedule posters by topic.
  • Keep in mind that there is no poster printing facility available at the conference. Please print your poster and bring it with you
  • Poster presentations can be used to effectively communicate complicated techniques, preliminary results, and descriptive issues.
  • Please choose the appropriate colours for your poster and use the correct size and font to make it easy to read.
  • Define your central message and state it clearly, so that people can immediately understand the topic of your presentation.
  • It is generally valuable to divide your poster into sections like Introduction, Methods, Results, Discussion and Conclusions.
  • Please note that too much text will probably discourage many people from reading your poster. An effective poster provides minimal text.
  • You can use several font sizes to prepare the poster. Title and author’s names should be no less than 70 point. The title of each section and any important bullet statement should also be large. Additional text should be no smaller than 24 point.
